Earlier this week, we highlighted a Greasemonkey script for Firefox that puts Google Calendar into a right-hand sidebar in Gmail . That in itself makes Gmail a pretty good organizer, but what if you like to keep your appointments and scheduling separate from your actual tasks? Enter hyper-connected web organizer Remember the Milk , which can integrate your GTD-style tasks into that Calendar sidebar. There's a few other tricks to making it all work smoother, so let's get started turning Gmail into a one-stop page for all your daily data. The first step is to install the Greasemonkey script-handler for Firefox and the GMailAgenda script, if you haven't already. Next up is Remember the Milk—if you're not using it now, you can get a free account . Once you're set up there, you can add your tasks into Google Calendar from this page . On both the Google Calendar main page and in your Gmail sidebar, you click the checkmark icon next to the listing for each day ("Tasks for Wednesday ..."), and a drop-down box with your to-dos for that day rolls out. It's seriously convenient, with task editing, adding, and even Google mapping available from the little widget. So now you've got the ability to manage email, add calendar events and tackle tasks while you're at the Gmail page, but the GCal sidebar can't follow you everywhere. If you check Gmail ’s settings, the last option under the “General” tab lets you “always use https” when accessing Gmail. It’s a fairly new option, and it might sound strange; isn’t Gmail secured by SSL (Secure Socket Layer) by default (hence switching to “https://Gmail.com” when you type in “Gmail.com” in your browser)? The answer is: yes and no. Once you log in, Gmail reverts back to an unencrypted connection, since SSL connections are slower than regular ones. This means that whatever you do on Gmail is unencrypted from now on, and someone sniffing traffic on your network can easily obtain sensitive data. Of course, not everyone has the skills to do that, so the chances of it actually happening are pretty small. Or, better put, they were small until now. As reported by Hacking Truths , a tool has been presented at DEFCON that makes stealing session IDs from Gmail a relatively easy affair. And once someone has your session ID, he/she can log in to your Gmail account without authentication. In practice, this means that not having the “always use https” option checked, especially if you’re accessing Gmail through a wireless hotspot, or any other unsecure network, has become a hazard, and is not recommended. Just short of a year ago, I wrote about Xobni , a company that built a plugin for Outlook that helps you figure out where your email time is going. Trend data that helps you figure out who's filling your inbox with messages and who's inboxes you're filling over time. It's an impressive tool, but has one limiting feature: Outlook. At the time, I suggested that Google, Yahoo, and Microsoft should build similar reporting into their web based email applications. A year later, this hasn't happened . . . yet. But it looks like we're getting closer based on this mail trends script from Mihai Parparita that is designed to analyze Gmail and Google Apps mail accounts via IMAP. How cool is that? Based on the time I've spent using Trends within Google Reader, I'm confident that similar trend reporting within email would be a huge time saver. It's not always clear where time is going when you're processing email throughout the day. If you can occasionally take a step back and look at your email behavior at a higher level, you may find areas where you are in dire need of change. Now you may have the data you need to actually identify the issues and do something about them.
